Minutes for the Church Council Meeting

On: Wednesday 12th April at 20h00 At: St Marc's Church Centre

Present: Stephen Coffin (Chaplain), Alan Golton (Asistant Chaplain), David Bailey (Churchwarden), Mark Lewis (Churchwarden), Alison Coulavin (Synod Rep), Val Golton (Synod Rep), Elizabeth Cherhal (Secretary), Richard Sheppard (Treasurer), Gloria Ugonwalli, Jon Bateman, Penny Vincent-Sweet

Minutes:

1. Prayers and Apologies (please inform Chaplain or Secretary)

2. Approval of last meeting's minutes and any matter arising from these (& not otherwise on the agenda) : Stephen is still waiting for information about the new archdeaconery position.

3. New Council business:
  • Welcome to the newly elected council members. The new members to the council were welcomed.
  • Election of Officers: The following officers were elected: David Bailey (vice chairman of the council), Richard Sheppard Treasurer, Elizabeth Cherhal-Cleverly Secretary, Alison Coulavin Child Protection Officer.
  • Co-option of members to the council.
Alan Golton was coopted.

4. Progress with the items in last minutes #117. (these are mostly items brought up by Claire in the last meeting, some of which had not been carried out, some items are other followups to the last council meeting)
  • All references for Sunday school teachers have now come in.
  • Should we get references for people taking care of the crèche ? Yes!
  • Dan Wilhelm did a very clear presentation of church finances.
  • News from Tilly is very preoccupying, a short discussion ensued about how best to send things to Tilly (why send clothes, since they cost less in Africa? It’s too risky sending money, best to send clothes). Should the news from Tilly be put on the webiste ? Possibly, but not without asking for her permission.
  • Norma is working on the prayer team, which will start on Easter Sunday.
  • Nell has started to set up food collection for l’Echoppe on “meal” Sundays. People need to be reminded on the Sunday before that a food collection is taking place.
  • Peter Koch has accepted to audit the accounts.
  • Pastoral care team. Stephen will set this up with help from Marie.
  • Red Room: we have permission to do it up. Volunteers will be asked for.
  • Things left for next meeting:
    • Claire had sent an email to some members of the council summarizing everything the council had at one point of time considered undertaking and putting the items under headings with a view to making priorities clearer. This will be a main point of discussion of the next meeting
    • Setting up the friendship meeting for newcomers.
  • A discussion ensued about job positions:
    • The statement of faith and council membership document should be signed, preferably before standing for election.
    • There is no restriction on the number of times a councillor can stand for election.
    • Is the church council meeting open to all members of the church ? The council need s to develop a policy about this. At least meeting open to all those thinking of standing for election should be held prior to the AGM.
The council can invite people in for meetings if required. These people can then leave the meeting later on if confidential matters are to be discussed.
  • The wardens job descriptions were discussed: It was thought that the description was half way between spiritual and practical. The wardens job is not to oversee every practical matter, but more to keep a general eye on what is happening. The wardens are also those who check that the Chaplain is doing his job.


5. Gift For Claire (proposed at AGM) (not minuted)

6. Treasurer's report : Richard reported that we were just solvent. Collections over the past months have given much less than out needs. It was suggested that a barchart be put up every month on the notice board (or in the notices in the service). Richard agreed to make a bar chart every month. Richard suggested giving out a monthy pledging form for people to pledge fixed sums of money each month. This was considered a good idea.

7. Future events:
  • Maundy Thursday meal: About 26-30 people are booked in.
  • Easter day service: prepared.
  • No pastors will be present on the Sunday following Easter. There will be bible study groups. Volunteers were asked to lead these.
  • Night of colour: 200 invitations have been given out and hopefully used. We must all pray for this.
  • Away weekend: 2 draft programs were discussed. The majority was in favour of 2days/1night weekend. It was said that we shoud also seriously consider another venue.

8. Keeping in touch with members - Council members will be asked to volunteer to keep in touch with a few members of the congregation, to help communication and awareness of needs. The current list was given out, and members were asked to think about what they would commit themselves to doing for next time.

9. Feedback about the "40 days of purpose" campaign and where we go from here with that. Feedback is generally positive. The number of books distributed is 60 english, 10 french, and about 45 people took part in groups. Most groups felt that they wanted to follow up the study with more discussion, maybe even do it again! Most groups have decided to go on until the summer vacation, and a synopsis should be given in church in the autumn.


10. Any other matters : Under this heading Stephen informed the council that he had been contacted by 3 American missionaries John & Alan Pavey & Matthew Glock, who are working in CEP Grésivaudan. They have recently felt they were called to minister to english speakers, and want to set up an english speaking ministry in CEP Grésivaudan. They approached Stephen to tell him about this. They see this as cooperating with St Marc’s church rather than competing with it, and would like to organise some things in common. Claire and Graham Naylor have stated that they also want to be involved in this venture. Most of the council members were under the shock of this announcement, but it was said that if the Lord was working in this way then it will prosper, and that whatever our emotional reactions, we must in all circumstances pray for God’s work to be done here.
